The ARM Group is hiring Immigration Paralegal (Canadian Practice) to support client in Buffalo, NY.
Pay Range: $55K-$65K/Annually.
Position Overview:
The Immigration Paralegal supports the firm’s Canadian immigration practice by coordinating case preparation, evidence collection, docket management, and client communication for matters involving derivative citizenship, Canadian passports, work permits, and criminal inadmissibility. The role requires strong organizational judgment, attention to detail, and independent responsibility within established firm procedures and under attorney supervision, as well as full supervisory responsibility over the legal receptionist.
Core Responsibilities:
Case Preparation and Procedural Oversight:
• Prepare and coordinate Canadian immigration matters under attorney supervision, including:
o Derivative and proof of Canadian citizenship applications
o Canadian passport applications
o Temporary work permit applications
o Criminal inadmissibility matters, including rehabilitation applications and Temporary Resident Permits (TRPs)
• Prepare, review, and edit immigration forms and supporting written materials (including reference letters, support letters, and addenda) in accordance with attorney guidance and firm templates
• Assemble complete case materials for attorney review, including organization of facts, evidence, and supporting documentation
• Provide procedural oversight for designated case types (including passport and derivative citizenship matters), ensuring files are complete, accurate, and ready for attorney review and filing
Evidence Collection and Documentation:
- Prepare and send requests to courts, law enforcement agencies, and other authorities to obtain required records, including court documents, sentence completion records, and background checks.
- Manage correspondence and follow-ups with record-issuing agencies and third-party custodians to obtain required documentation in a timely manner.
- Serve as the primary point of contact for clients regarding the collection and status of court documents, background checks, and reference letters.
- Review obtained records for accuracy, completeness, and consistency; identify missing or unclear documentation and coordinate corrective follow-up as needed.
Client Communication and Coordination:
- Communicate with clients regarding document requirements, procedural steps, and case status updates.
- Escalate legal questions, interpretive issues, or strategic considerations to attorneys as appropriate.
- Maintain current, working knowledge of all active Canadian matters to support shifting priorities based on client responsiveness and urgency.
File Management and Quality Control:
- Maintain complete, accurate, and well-organized electronic and physical client files in compliance with firm standards and confidentiality requirements.
- Review physical file updates before and after attorney or senior paralegal review to ensure consistency and accuracy.
- Review final scanned files to confirm completeness and proper organization prior to submission or closure.
Docket Management and Internal Reporting:
- Track deadlines, application statuses, and follow-ups with Immigration, Refugees and Citizenship Canada (IRCC) and related agencies.
- Prepare and distribute a weekly Canadian docket status update identifying outstanding tasks and prioritizing actionable items.
- Participate in weekly docket review meetings to audit file status and coordinate next steps.
- Update and maintain internal tracking tools and master spreadsheets reflecting task completion and case progress.
Supervision, Training, and Administrative Coverage:
- Provide full supervision of the legal receptionist, including task delegation, workflow oversight, and procedural guidance.
- Train the legal receptionist during a designated onboarding period using established firm requirements and performance criteria.
- Serve as the primary point of contact for operational questions from the receptionist.
- Provide administrative coverage (phones, mail, intake support) when the legal receptionist is out of the office, as needed.
Reporting and Collaboration:
- Report to the Senior Paralegal regarding docket status, workflow issues, and administrative supervision matters.
- Coordinate with attorneys and staff to ensure procedural consistency, timeliness, and compliance across Canadian matters.
